1. Your rules
If you have said that a merchant is always Groceries, that is applied first.
AI makes categorising a long statement quicker. It should never be a mystery. This page explains where AI is used, what it sees and how to control it.

SpendixAI works down this list and stops as soon as a transaction is placed.
If you have said that a merchant is always Groceries, that is applied first.
A merchant you have categorised before gets the same category again.
A close match to something you have already categorised can be suggested.
Only for what is left over, and only if AI is switched on.
For categorisation, the model receives the least it needs to name a merchant.
No AI at all. Rules, history, imports, reports and exports all still work, and unmatched transactions are held for you to review.
A low-cost model categorises only what your rules and history cannot.
Adds plain-language insights and help with unfamiliar documents when you ask.
AI wherever it helps, for complex documents and heavier analysis.
A few optional features need to read the document you uploaded, because that is the only way to understand it. They are separate from categorisation, so you can keep one and turn off the other.

Turn individual AI features on or off.
Set a cap, with a warning as you approach it.
Exclude a sensitive account so its transactions never reach a model.
Switch AI off entirely. Everything else keeps working.
AI-related actions are recorded in the audit log.
Disconnect any connected assistant from the MCP connections page.
SpendixAI uses Anthropic’s API for its AI features. The arrangement is configured so that data sent is not kept beyond the request and is not used to train models.
If you connect Claude or ChatGPT to your workspace yourself with MCP, that assistant can read, and if you allow it, change, the data covered by the access level you approve. Start read-only. The assistant’s provider handles what it receives under its own terms.

In stages. Your own rules come first, then your history and similar merchants you have already categorised, and only then, if AI is switched on, a model suggests a category for what is left.
Yes. You can switch individual AI features on or off, set a monthly AI budget, exclude accounts, or turn AI off entirely. With AI off, everything else keeps working and unmatched transactions are held for you to review.
For categorisation, the normalised merchant name and an amount band, not your name, account numbers, full statement text or balances. Some optional features, such as reading an unfamiliar statement layout, process the content of the document you uploaded. See the AI and privacy page.
Yes. You can create categories and sub-categories, set a colour, and add a GST rate, ITC and tax-deductible settings and an accounting code.
Yes, and a correction becomes part of your history so the same merchant is categorised the same way next time.
